For one of our main customers ESAESTEC, located in Noordwijk, we are currently looking for an Assistant ControllerAdministrator, who will give support to the project control activities within the Telecommunications Satellite Programmes Department. Tasks and Responsibilities ESAP tasks Support to the Project Control of ARTES Programme Creating the fund reservations for the activities and CCNs Initiation of the shopping carts for the activities Initiation of the shopping carts for all CCNs Initiation of the TEB nominations Initiation of the RFxs Creation of the draft purchase orders. Update and submission for approval of the PO based on the draft negotiated contract Update and submission for approval of purchase orders once the shopping carts cc have been approved. Other related tasks Follow up to ensure outline proposals are processed properly Monitoring progress and follow up with technical officers for the timely delivery of the draft Statement of Work Checking TEB nomination composition proposals against the TEB manual rules Informing contracts officers of approved TEB nominations Informing contracts officers of the approval of the RFxs and assigned ITT no Reminding technical officers to arrange CRBs for CCNs and if necessary organizing CRBs Informing contracts officers of approval of shopping carts CCs. Adding documents related to above tasks to Eclipse Document Management System e.g. SoW, TEB nominations, ITT documentation, CCNs, etc. Keeping the ARTES 345 Procurement workflow file uptodate with the information related to above tasks Flagging issues for discussion at the Weekly Divisional Meeting Support to generate and maintain Key Performance Indicators General Administrative Support to the departments Project Controllers and Management Support Office. Experience and education University Degree in Business Administration and at least 2 years of working experience in the field Strong Administrative skills Practical knowledge and experience of ESA procurement process and system Several years handson experience providing Administrative support to ESA Projects Experience and handson knowledge of ESAP software, and other ESA corporate software tools Strong practical PC skills using MS Office, including Word, Excel, PowerPoint Knowledge and experience of ESA Eclipse Document Management Software Good communication skills, with ability to establish and maintain effective working relationships Proactive with good attention to detail Good organisational skills and ability to manage complex tasks in a dynamic environment A fluent knowledge of the English language is required.
