Job Description We are looking for an Assistant Controller on behalf of the European Space Agency ESA for their location in the Netherlands, to join their Financial Management Section. Please note, the successful candidate will be employed by ATG Europe and not by ESA. The successful candidate will be tasked with, but not limited to Tasks and Responsibilities Support to the processes related to the main resources of the organizational entity i.e. budgets, manpower, staffing, including planning, execution and followup of the activities and resources budgets, manpower, missions, recharges of the Business Unit. Support to the planning, preparation, execution and followup of activities and related procurement actions as relevant managed by the Business Unit and of associated progress in terms of output schedule resources. Assessment and monitoring of the status of the procurement actions using ESA Corporate and local IT Tools including activity progress, maintenance of payment plans, correctness of financial charging, invoicing and payment. Implementing all administrative actions related to procurement and contractual matters, including data entry in ESA Corporate e.g. SAP and local application as appropriate and monitoring of financial commitments and payment milestones, invoicing, etc. Maintaining up to date the related data, performing data analysis, identifying deviations w.r.t. planstargets and production of associated reports to the responsible management and to the concerned customers. Assisting in the definition, preparation, implementation and maintenance of management support tools to ensure efficient execution of the related tasks. Liaison with Contract, Budget and Payment Officers to ensure the coherence of the internal and external administrative data. Contribution to the definition of new and improvement of existing related processes and tools and production of related documents. Support to the risk management processes e.g. maintenance of risk register, monitoring of status of risk mitigationreduction actions for the Business Unit. Support to the inventory and asset management processes for the Business Unit, including coordination of the proper registration of inventory items and assets, valuation of assets, in accordance with applicable procedures and instructions and the use of required tools. Support to the maintenance of industrial return databases for the BU, periodic verification of the BU data against ESA system for consistency, monitoring and forecasting of industrial return values for the procurements of the BU with respect to agreed targets, etc. Support assets and inventories management including technical databases. Support BU for worked time activities processes with applicable procedures and instructions and the use of the required tool. Support BU for travel management processes with applicable procedures and instructions and the use of the required tool. Requirements Bachelors degree from a recognized Institution of secondary studies or equivalent qualification in Business Administration. At least 2 years of relevant work experience. Experience in controlling andor management of activities and resources in aerospace industry. For some tasks knowledge of FinanceAccounting may be required. Highly proficient in the use of modern activities and resource management support toolsdatabases of standard office automation support software packages including in particular advance usage of Excel MSOffice and in particular advanced use of Excel. Experience as user of SAP and in particular ECC and SRM modules and familiarity with relevant ESA corporate applications e.g. ESAp is an asset. Ability to rapidly understand and adapt to ESA specific context and environment including ESA corporate IT applications. Experience in finance, budgeting, and accounting. Position Reference 991 We are currently looking for an Administrative Assistant to work at ESA HQ in the city of Paris, France. The key person will provide support to the Language Services and MinuteWriting Division. Tasks and Activities The scope of work will include Format the Word documents produced by the French translators and occasionally by the German translators, ensuring in particular that the layout is correct, coherent and in line with the standards of the Agency, and doublechecking the spelling and grammar this implies the assembling of texts when a document is shared between two or more translators, the reformatting of complex documents budgets, annual accounts, etc. and the creation of tables and figures using various software Word, Excel, PowerPoint and others. Incorporate amendments to the documents, tables and figures. Upload the French version and occasionally the German version of official documents in the Agencys online publication system esa bluedocs, liaising with the Information Technology technicians as necessary. Archive the original documents and the translations in the local databases. Maintain the translation archives and propose modifications of the folders and subfolders as necessary. Assist in the preparation of specific documents by making electronic document comparisons track changes function, retrievingpretranslating recurrent parts and making searches in archives and documentary databases. Provide support for the use of specific tools by creating html bilingual files for the search engine DtSearch and creating and preparing tmx bilingual files alignments to be transferred into the translation memories SDL Studio. Liaise with secretaries and the official documents distribution unit to ensure that documents are published on time. Transfer the updated content of the translation memories and DtSearch content to the external translators on a quarterly basis or more often if necessary. Maintain leave records for the Section. When required, perform the following tasks Record the translation requests in the followup excel files Create dedicated sheets for each document using the appropriate template and copy the completed sheets into the workflow Transfer the translation requests to the respective section heads Keep the section heads informed of the status of the documents in esa bluedocs as well as of any special translation request outside esa bluedocs Keep a record of published and cancelled documents.
