Position Reference 055 You will have the opportunity to work in an exciting environment at RHEA Group and provide support to the Legal Contracts Administration Department Tasks and Activities The scope of work will include Reception and registration of incoming Framework and Specific ContractsWork OrdersContract Change Notices and ensure the completion of the file by obtaining the proposal, budget proper signatures of contractual documents. Keep legal paperwork and digital documents organized and properly filed in strict confidence. Prepare the Contract Summary form identifying notably the type of contract FFP, FUP, TM, labour split phasing contract, payment requirements and schedule, reports and documents required for invoicing purposes. Organize and participate to the Kickoff contract meeting with the BusinessProject Manager, the Bid team and all relevant partners possible subcontractors of the Project in order to approve andor update the Contract Summary before the contract setup into the ERP by the financial team. Drafting contractual part of our proposal, subcontract and CCN and associated contractual letters for the legal advisor review and approval With respect to project subcontracting, ensure that terms and conditions are timely and wisely transferred to subcontractors and that subcontracts and other similar agreements with subcontractors are contractually managed. Manage and prepare incoming and outgoing correspondence Monitor works towards contract obligation check schedule and all milestones compliance. Followup of work at risk WAR, Authorization to proceed ATP Project and missing documents. Provide, when required by the Legal Advisor, for Contracts reviews and other similar management reviews a reliable and understandable contractual analysis of the project. Implement and improve the administrative processes for more efficient workflow. Electronic and paper filing of documents. Implementing the Contracts into the ERP in line with the requirements set forth by the contracts. Skills and Experience The following skills and experience are mandatory You have at least a Bachelor Degree in Law. You have 2 years working experience in a law firm or experience in the preparation and administration of contracts in a multinational European Environment is required. You have legal Background or sound understanding of contractual issues. You have good knowledge of Document Management Systems word, access, other. You have strong numerical skills, with a good working knowledge of MS Excel. You have demonstrated skills in data analysis and reporting. The following skills would be highly desirable You have experience with a contract management tool or an ERP. You are highly organized and detailoriented. You are able to take direction and work independently with little or no supervision. You have excellent interpersonal and communication skill. You are Business minded and Reliable. Tasks and Activities The scope of work will include Monitor and ensure uniformity of corporate security throughout all the RHEA office locations. Define in close collaboration with the RHEA Group CSO the RHEA Corporate Security Program. Actively support and be a driving force in the execution of the following tasks related to RHEA Group security procedures Define and update the security procedures for the RHEA Group Ensure the application of the security procedures for the RHEA Group e.g. through security briefings, awareness sessions, trainings, etc Monitor and ensure uniformity of security throughout all the RHEA office locations Inspect, review and monitor the security program and activities of all companies in the RHEA Group. Define, implement and execute a plan to maximise the number of security cleared staff in the RHEA Group and maximise the access to pools of security cleared professionals to be called upon when RHEA needs them and optimize the communication and direct relation with local NSAs the speed in which security clearance requests are handled by the local NSAs. Manage with the support of the ACSO the proper completion and submission of PSCIS Personnel Security Screening requests and Visit Clearance Requests and related security briefings. Ensure that personnel receive a security briefing upon notification of having been granted a security clearance or reliability status. Ensure that all Key Senior Officials e.g., those personnel in executive or senior management roles are cleared to the highest level of access required and inform SGRSSMISIS of any change to the organizations ownership or change in the list of Key Senior Officials. Maintain a Classified Document Register for receipt and issue of Classified documents for the company and ensure to make them available for future Audit. Monitor the handling and control of ProtectedClassified documents and media. Actively support the investigation into breaches of security or security incidents. Support the annual security inspection and keep report for a period of 3 years. If needed review contract security requirements for compliance possibly together with the CISO. Inform relevant regulatory bodies e.g. SGRS prior to any physical move or new construction, which could affect the protection of sensitive information and assets. Act as one of the RHEA Group point of contact, in addition to and as deputy of the RHEA CSO and supported by the ACSO, for security communications with relevant regulatory bodies e.g. SGRS. Seek out assistance from relevant regulatory bodies e.g. SGRS SGRS for security guidance as required. Skills and Experience The following skills and experience are mandatory You have a recognised University Degree at least at a Bachelors level and preferably with some specialisation on Security activities. You have at least 56 years of experience working within a corporate and facility security environment. You have in depth and detailed knowledge of and experience with Implementation of physical security procedures and policies within a complex organisation ISO27k implementations, procedures and audits National security clearance procedures incl. Site clearances, Personnel Security clearance and screening requests, visit clearance requests, etc., in Europe, mainly Belgium, Italy, Czech Republic, the Netherlands and Germany. You have experience working with or being in contact with EU Institutions. You have an extensive network in the corporate security field, defence agencies and national security agencies. You have the ability to create a plan and participate in staff awareness and training on security related matters. You are able to represent the organisation both internally and externally in a professional manner. The following skills would be highly desirable You have good communication skills and demonstrated experience in handling difficult situations.
