This is an opportunity for an experienced administrative assistant. Shehe will report directly to the Agencys ISS Interagency Coordinator, and is in close cooperation with the Secretariat of the Director General and ESA Directors, the assistant will be responsible for the Secretariat of the ISS Interagency Coordinator. The position is unlimited and full time and will be located on customer site in ESOC, Darmstadt, Germany. The possible start date will be 1st of July 2016. ResponsibilitiesDuties The duties and tasks of the successful candidate will include Filtering correspondence and enquiries relevant to the position, synthesizing the information and preparing related dossiers and background documents, following up on actions, drafting of replies to correspondence and enquiries as appropriate Managing the schedule of the Manager, planning and coordinating meetings and commitments, including also coordination with the Offices of DG and ESA Directors as required and keeping the Manager informed of all issues of concern during his absence Ensuring the organisation of missions as well as preparing mission reimbursement requests Preparing files as background for meetings as well as taking and producing meeting minutes, as required Handling and keeping track of all incoming requests for participation in public relations events, including the analysis of relevance of requests in cooperation with ESA PR and Communications and ensuring the smooth organisation of the Managers participation in such events Acting as point of contact for event organisers, compiling event files with all necessary information, including liaising with various Departments for the preparation of content and proofreading presentations, as well as clarifying all logistical details prior to events Handling autograph requests, preparing signature files and drafting correspondence for the Manager. QualificationsExperience Candidates for this post should have a tertiary level education eg. Bachelor Degree or short cycle university education or equivalent qualification. Solid experience in the secretarial domain and in the area of administrative support is mandatory. Essential Skills An ability to handle confidential matters and assure a high level of discretion at all times. Excellent communication and relationship management skills. Very strong planning and organisational skills. The ability to work under pressure and according to tight deadlines. The ability to prioritise efficiently and effectively. Proficiency in the use of standard Microsoft Suite applications, Lotus Notes email and databases as well as SAP are required. The working languages of the Agency are English and French. At a minimum, very good command, both verbal and written, of one of these languages, with preference for English, is required candidates should also be able to demonstrate a working knowledge of the other language. Knowledge of Agencyinternal software tools and applications is an asset. Knowledge of further member state languages is an asset. Requirements You should have a University degree Bachelor from a recognised Institution or equivalent qualification in Business Administration or Communications as relevant A minimum of 2 years of experience in the field General interest in and good understanding of technical, programmatic and policy issues. Proficient in MS Office packages with experience of high level Project Administration. Knowledge of ESA administrative and financial processes is a definite advantage.
