This is an opportunity for an experienced administrative assistant. Shehe will report directly to the Agencys ISS Interagency Coordinator, and is in close cooperation with the Secretariat of the Director General and ESA Directors, the assistant will be responsible for the Secretariat of the ISS Interagency Coordinator. The position is unlimited and full time and will be located on customer site in ESOC, Darmstadt, Germany. The possible start date will be 1st of July 2016. The submission deadline for interested candidates will be 3rd of May 2016. ResponsibilitiesDuties The duties and tasks of the successful candidate will include Filtering correspondence and enquiries relevant to the position, synthesizing the information and preparing related dossiers and background documents, following up on actions, drafting of replies to correspondence and enquiries as appropriate Managing the schedule of the Manager, planning and coordinating meetings and commitments, including also coordination with the Offices of DG and ESA Directors as required and keeping the Manager informed of all issues of concern during his absence Ensuring the organisation of missions as well as preparing mission reimbursement requests Preparing files as background for meetings as well as taking and producing meeting minutes, as required Handling and keeping track of all incoming requests for participation in public relations events, including the analysis of relevance of requests in cooperation with ESA PR and Communications and ensuring the smooth organisation of the Managers participation in such events Acting as point of contact for event organisers, compiling event files with all necessary information, including liaising with various Departments for the preparation of content and proofreading presentations, as well as clarifying all logistical details prior to events Handling autograph requests, preparing signature files and drafting correspondence for the Manager. QualificationsExperience Candidates for this post should have a tertiary level education eg. Bachelor Degree or short cycle university education or equivalent qualification. Solid experience in the secretarial domain and in the area of administrative support is mandatory. Essential Skills An ability to handle confidential matters and assure a high level of discretion at all times. Excellent communication and relationship management skills. Very strong planning and organisational skills. The ability to work under pressure and according to tight deadlines. The ability to prioritise efficiently and effectively. Proficiency in the use of standard Microsoft Suite applications, Lotus Notes email and databases as well as SAP are required. The working languages of the Agency are English and French. At a minimum, very good command, both verbal and written, of one of these languages, with preference for English, is required candidates should also be able to demonstrate a working knowledge of the other language. Knowledge of Agencyinternal software tools and applications is an asset. Knowledge of further member state languages is an asset. Your Tasks Include The Documentation and Configuration Management Engineer shall perform Documentation and Configuration Management tasks in support to the Copernicus Programme and Service Management Office and to the Copernicusrelated missions, at first Sentinel3 and Jason3 operations and progressively Sentinel4, SentinelS and JasonCSSentinel6 rampup operations activities. She shall perform following main tasks Implement the applicable Documentation and Configuration Management plans, processes and working practices. Regularly review and propose improvements on those documents Deliver support to a wide range of users and training sessions on applicable Documentation and Configuration Management procedures Ensure that all incoming and outgoing Copernicus documentation is managed according to applicable working practices, covering all registration, formatting, review, approval and storing steps with the Documentation Management tool, and timely releasingdistribution to relevant recipients Support the identification of the configuration items software, hardware and documents to be managed during Copernicus operations Sentinel3 and Jason3 at the moment and buildup operations activities for Sentinel4, 5, 6. Register those documents and items in the CM and DM databases as appropriate, tracking any new version As required support the administration of the Anomaly and Change Control Boards regularly organized to review and approve anomaly correction and changes to configuration baselines, covering all Copernicus associated operations and rampup operations activities Liaise, coordinate and organize with external partners joint configuration boards when and where relevant Support the control all changes impacting identified configuration items through all defined staged lifecycle steps, in particular ensure that any new item version is deployed only after the formal review and approval of the related change Support the monitoring and control of hardware and software installation activities, and the deployment of satellite, system or ground segments operational documentation procedures into the relevant controlled areas, as required during operations and rampup operations activities Keep up to date the mapping between changes including anomalies and software, hardware and document items, together with the mapping between software and hardware items Contribute to the improvements of the EUMETSAT CM and DM tools, ensuring they efficiently support all required Copernicus operations and rampup operations phases, and participate to the testing of related new releases Regularly perform consistency and accuracy checks on the Documentation and Configuration Management databases Timely prepare and present Configuration Status Accounting Reports and documentation reports, as necessary Your Profile In addition to having a University degree or equivalent, the key person shall have a minimum of five years experience in the specific field of Documentation and Configuration Management, including build, deployment and installation activities on large software intensive highavailability operational systems. The following skills and experiences are required Documentation and Configuration Management standards e.g. CMMI, ISO or ECSS Documentation Management tools as basic administration or advanced user e.g. Oracle UCM Configuration Management tools as basic administration or advanced user e.g. Serena Dimensions or Clearcase Use of SQL queries And more generally with systemsoftware development processes and methodologies.
