For one of our main customers ESAETEC, we are currently looking for an Assistant Controller Administrator, who will give support within the Earth Observation division. Under this work package the contractor shall support the Earth Observation Directorate, primarily assigned to the GMES projects. Heshe will be delegated to work on specific Projects, and as such heshe will liaise on a daily basis with the various members of hisher Project and work for the Project Controller, the Product Assurance Manager and Project Manager, including the following tasks Data collection, extraction from various Corporate applications e.g. SAP, PRISMA and from various internal sources and data consistency checking and coherence analysis Prepare and assist in producing financial and programmatic status reporting as required Assist in the preparation of project audits if and when required Supporting users for retrieving documents from local DMS, DMSs from external partners andor industry, out of paper archives, other sources like ESTEC library, scanned documents on CDROM or via Internet, etc Related support to project reviews Provision of paper copies of electronic documents on request, creation of electronic versions of documents, in addition to management of original files Tasks related to documentation management, distributionregistration of mail and documents Analysing incoming correspondence and documentation and managing distribution of outgoing correspondence and documentation Assuring that adequate configuration control methods, procedures and standards are established andor maintained, consistent with applicable standardsrequirements Providing status data and maintaining a wellstructured configuration record system acting as secretary to appropriate Boards established for the processing of changes Provision of various logistic support to the Unit Daytoday support to Unit personnel regarding travel arrangements, leave management, coordination of training Dealing with incoming telephone calls and information requests Organization of agenda and of meetings Room and resources bookings for meetings andor events falling under the responsibility of the Unit Experience and education Proficient in MS Office packages with experience of high level Project Administration Knowledge of ESA administrative and financial processes is a definite advantage Highly proficient in modern planning and project control tools, office automation software and databases, such as MS office including Excel. Experience with SAP is an advantage Excellent planning and organisation skills and attention to detail Good communication skills Ability to work both autonomously and as part of a team within the boundaries of assigned tasks and a stringent schedule Initiative and motivation to perform to high standards in a demanding environment. Ability to establish and maintain effective working relationships with the outside world. Fluent in the English language spoken and written. Knowledge of other European languages is an asset.
