For one of our main customers ESAESTEC, we are currently looking for a Secretary Administrative Assistant, who will give secretarial and administrative assistance to the Telecom and Integrated Applications Directorate. Tasks and Responsibilities You will be expected to Be responsible for calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings and video conferences Answer phones and direct all incoming calls to appropriate party promptly and efficiently Communicate and handle incoming and outgoing electronic communications on behalf of hisher Managers Assist managers with preparation of documents and presentation materials using Powerpoint, Excel, and MS Word Prepare documents and outgoing mail Participate in meetings with hisher managers as required and take minutes of meetings Organising meetings and preparing travel arrangements missions Prepare and process data, documents and presentation material in English Establish and maintain records and files ref. Document Management Systems Provide adhoc backup support for other secretaries of the Department Day to day support to team regarding business travel arrangements, leave management, coordination of training Analysing incoming correspondence and documentation and managing distribution of outgoing correspondence and documentation Provision of various logistic support to the team Arrivals office, phone, computer, security, access to databases, information systems and departures deregistration, etc. of team Ordering of office supplies and maintenance of stationary Administration and handling of shipment of goods and express mail Maintaining and following up actions lists for the team and taking minutes of coordination meetings for the Unit Participation in organization of events e.g. workshops, conferences as required. In addition to the above that correspond to standard activities in support to a team, tasks may also cover the following Support to the Project Review Process Support to visitor service including access control, preparing visa applications, distribution of information material ESA site administration including periodical update e.g. daily of site schedule, updating and distribution of the site telephone list Participation to the preparation and the publication of internal and external documents, including editing and proofreading Data collection, extraction from various Corporate applications e.g. SAP, PRISMA and from various internal sources and data consistency checking and coherence analysis. Experience and education Secondary education and professional training in administrative techniques or in secretarial related activities Experience assisting management with calendar management, meeting organisation, document creation Strong practical knowledge of MS Office, including Word, Excel, PowerPoint Excellent calendar management skills, including the coordination of complex executive meetings Candidates should possess good communication skills and an ability to establish and maintain effective working relationships Candidates should have good organisational skills and be able to work in a dynamic and proactive manner with good attention to detail A fluent knowledge of the English language is required A good working knowledge of other ESA member state languages would be an asset Highly proficient with modern electronics office automation tools in particular Microsoft Office suite and electronic mailing preferably Lotus Notes Capacity to identify priority actions and handle high workload Familiarity with ESA working environment in a similar position is a distinct advantage.
